Refund & Cancellation Policy

At Adventour, every expedition is carefully planned in advance with hotel reservations, permits, convoy arrangements, logistics, support teams, and operational commitments. Due to the nature of expedition travel, the following refund policy applies to all bookings.

  1. Booking Confirmation

A booking is confirmed only after receipt of the required advance payment.

By making a payment, the participant agrees to the terms of this Refund & Cancellation Policy.

  1. Cancellation by Participant

More than 60 days before departure

  • Eligible for refund after deduction of booking/processing charges and non-recoverable vendor expenses. 

30–60 days before departure

  • Partial refund may be provided depending on permits, hotel bookings, and operational expenses already incurred. 

Less than 30 days before departure

  • No refund shall be applicable. 

Last-Minute Withdrawal

  • No refund will be provided for no-shows, unused services, or early withdrawal from the expedition after commencement. 
  1. Transfer of Booking

In certain cases, Adventour may allow participants to transfer their booking to another person or another expedition, subject to:

  • availability 
  • operational feasibility 
  • vendor approvals 
  • applicable transfer charges 

Such requests are handled solely at Adventour’s discretion.

  1. Cancellation by Adventour

Adventour reserves the right to cancel, postpone, or modify an expedition due to:

  • extreme weather conditions 
  • road closures 
  • political unrest 
  • natural disasters 
  • government restrictions 
  • insufficient participation 
  • safety concerns 
  • unforeseen operational circumstances 

In such cases, Adventour may offer:

  • expedition credit 
  • alternate departure dates 
  • partial refund 
  • alternate itinerary arrangements 

depending on the operational situation and vendor recoveries.

  1. Refund Timelines

Approved refunds shall be processed within 15–30 business days from the date of confirmation.

Processing timelines may vary depending on banking systems and third-party vendors.

  1. Non-Refundable Components

The following may be non-refundable once booked:

  • permits 
  • visa fees 
  • hotel reservations 
  • vehicle bookings 
  • flight tickets 
  • insurance 
  • special activities 
  • third-party services 
  1. Force Majeure

No refunds shall be guaranteed for disruptions caused by events beyond Adventour’s control, including but not limited to:

  • natural disasters 
  • landslides 
  • pandemics 
  • war 
  • civil unrest 
  • government restrictions 
  • border closures 
  • extreme weather conditions 

However, Adventour will always attempt to provide the best possible alternative solution wherever feasible.

Adventure and expedition travel involves extensive advance planning and operational commitments. Participants are strongly advised to purchase comprehensive travel insurance covering cancellations, medical emergencies, and trip interruptions.
